The physical inventory, also known as the physical stock count, is the current physical quantity of products found in the warehouse or storage area at a specific moment.
How to create a physical inventory? π¦
You can create an inventory for every space you want to control.
It can be anything from a physical space (fridge) to a category (raw materials).
It is important that you decide how you will structure it so you can create the inventories you need and improve the monitoring of the products you have available for your restaurant.
- Click the New Inventory option.
Add the name and description, and you can also add an image! ππΌ
- Press the top button that says "Edit List"
π‘There you can filter by products or by preparations as well as their categories and suppliers.
Select all the products/preparations you want to be part of the inventory ππΌ
π‘ Manually created products cannot be added to inventories.
- Once the products have been added to the inventory, you will reach the main page where you can edit the quantities of each product by clicking the "New version" button and choosing between these two options:
- Reset quantities to 0: to start from scratch.
- Keep quantities: to preserve the existing base.
- You can start by filling in the Purchase Units, which correspond to the product's specific purchase quantity.
- Fill in the Loose Units column, which corresponds to all products that are in incomplete packages, boxes, or batches.
βοΈYou may see a blue message on some products that says "Missing conversion". All you need to do is click it and add the purchase conversion ππΌ

In this case, the coconut milk conversion is 1 unit of 2.5 L.
(You can also access this conversion directly from the product settings.)
If we add the coconut milk unit we have in storage, haddock will automatically change the total units to 2.5 L thanks to the conversion preset directly on the product.
- Once both quantities have been modified, you will find a total sum of the purchase units and loose units, so you can see the quantity available in your inventory for each product.
- You will also find a cost column that includes the total cost of the units.
βοΈThe price taken into account when calculating the cost will be the last purchase price.

In the previous case we have 6.5 L of coconut milk available in the warehouse, which adds up to a total of β¬7.21.
How can I remove a product from my inventory? π€
To unlink a product from your inventory, all you have to do is:
- Click the Edit List button.
- Search for the product name.
- Select the blue box again and confirm the change.

Click the Edit Inventory button in the top right corner.
From there you can:
- Change the inventory name
- Add an image
- Add a description
- Delete the inventory
Inventory creation date and history π
All inventories include the date of the last review, which will be updated every time changes are made within each inventory.
You can view it from the main page or inside the inventory.
Also, if you click the top-right "Inventory History" option, you will be able to see the full history of versions created for that physical space (fridge) or category.
Total economic value of each inventory π€
All inventories include the economic value. You can view it from the main page.
Export inventory
You can export your inventory in PDF or Excel format if that is more practical for keeping track of it.
To do so, open the inventory you want to download, click the "Export inventory" button, and select the format you prefer.
