ℹ️ Automatic categorization

>

Products are categorized automatically by default when they are created from invoices or expenses. The system uses artificial intelligence to assign the most suitable family and subfamily based on the product name and the supplier.

>

The information below lets you review and adjust these automatic categorizations when needed, or manually categorize specific products.

In haddock, your suppliers, documents, and products are categorized across three levels:

First level β†’ Category

  • Example: Drinks

Second level β†’ Family

  • Example: Wines

Third level β†’ Subfamily

  • Example: Red Wine

❗️It is not possible to create new categories, families, or subfamilies. These levels are predefined by haddock and are not customizable. You can only assign and select the options that appear in the available list.

🍎 Review and adjust families from products

Even though products are categorized automatically, you can review and modify these categorizations whenever needed to make sure they are correct.

πŸ’‘ This lets you correct the category of specific products, distinguish products with different families within the same supplier, and make accurate comparisons by family or subfamily across all suppliers.

  1. Go to the 🍎 Products section in the side navigation bar.

  1. Click the product you want to review or edit, then click the three dots in the top-right corner.

You can adjust families individually or in bulk.

  1. Individual categorization

  • Click the product you want to categorize to open its details page.
  • Go to the product Edit option.

  • In the Categorization section, select the families and subfamilies this product belongs to.

2. Group categorization

  • From the products list, select the products you want to categorize by clicking the βœ… on the left side of the row.

  • Click "Edit" in the bar that appears at the bottom of the page.

  • In the Categorization section, select the categories, families, and subfamilies that apply to the products.

πŸ“„ Adjust families from documents

πŸ“Ž When you need to apply a specific category to all the products in a document, you can set it directly when uploading it or edit it afterward.

⚠️ Important note: Product-level categorization takes priority over document-level categorization. If a product has already been categorized automatically or manually, it will keep its original category unless you change it individually.

  1. Assign a category to the document during upload

  • To apply a category to all products in the document, select the category, family, and subfamily within the Categorization section. This category will be applied to all products in the document that do not yet have an assigned category.

  1. Edit the category of an already digitized document

  • Go to the πŸ“„ Documents section in the side navigation bar.
  • Find the document whose category you want to change.
  • Click the menu icon (three dots) on the document row and select Edit.
  • In the dialog box, find the "Category" field and select the appropriate category, family, or subfamily.

⚠️ Categorization hierarchy: Product-level categorization takes priority over document-level categorization. For example, if you assign the πŸ– category to a document, but one of its products was already categorized as 🐟 (automatically or manually), that product will keep the 🐟 category.

❌ It is not possible to categorize products directly from the supplier profile.

πŸ‘€ How to read the category chart

To access the category chart, go to Dashboard and then select the Categorization chart.

You will get a detailed view of your restaurant costs through the dynamic chart. You can analyze total costs broken down by categories, families, or subfamilies.

  • For a more specific view of a particular category or family, simply click the category or family you want to explore. The chart will update automatically to show the families or subfamilies within that category.
