Fina frequently asked questions
If Fina is not doing what you expect, check the quick items below.
I do not see Fina, why?
The Fina tab only appears to users with the owner or administrator role for the location.
If you manage several locations, also make sure you are in the correct restaurant: Fina is activated per location, not once for the whole group.
If you see the Fina tab in that location with the Activate button, you only need to finish the activation.
Fina is not collecting documents, what do I need to check?
Go to Fina > Settings > Email and confirm these 3 things:
- You have at least one connected email account in active status.
- The Collect invoices from emails option is enabled.
- Your location address is configured correctly.
The address matters because Fina uses it to identify which documents belong to each restaurant and upload them to the correct location.
Fina supports Gmail, Outlook, and any other provider with IMAP/SMTP. If the account appears as Send disabled, Fina keeps collecting documents normally, but will not be able to send emails to suppliers on your behalf until sending is re-enabled.
My email appears as inactive or send disabled, what do they mean?
A connected account can be in one of three states:
- Active: everything works; Fina collects documents and can send emails to suppliers.
- Send disabled: Fina keeps reading the inbox and collecting documents, but cannot send emails (for example, because your provider restricts SMTP). The supplier issue is left as a proposal for you to send manually. Review the SMTP settings on your provider or contact support to re-enable sending.
- Inactive: Fina cannot authenticate with that account and stops automatic collection. To resume it, go to Fina > Settings > Email, disconnect that account, and reconnect it.
I do not have proposals, why not?
If you mean bank reconciliation proposals, check this:
- You must have Fina active in that location.
- You must have a bank account connected to that location.
- In Fina > Settings > Banks, the Analyze and suggest bank reconciliations option must be enabled.
Proposals only appear when there are pending bank movements and Fina detects something to review. If there are no available movements or it has not found any pending review, you will not see proposals.
Why can I not activate Fina in another location?
Because Fina activation is saved per location.
If you manage several restaurants, you have to enter each one and activate it separately. In addition, only users with the owner or administrator role in that location can do it.
The email account can be used for several locations in the same group, but each location must have Fina active and its address properly configured so Fina can distribute documents correctly.
