How to read Fina's main screen

Fina's Home tab brings together the most useful information to understand, at a glance, what Fina is doing, what you still need to review, and where you need to go to take action.


On this screen, you will see 3 main blocks:


  • Key performance indicators
  • Pending tasks
  • Recent activity


In addition, a notice related to email may appear at the top.



1. First check the notices at the top


Before interpreting the numbers, see whether a yellow alert appears:


  • Configure email: there is still no connected account, so Fina cannot start automatically collecting invoices and delivery notes from email.
  • Check your email accounts: one or more accounts are inactive and you will need to reconnect them to resume automatic collection.


In both cases, the Configure button takes you to Fina > Settings > Email.



2. How to read the KPIs


The Key performance indicators section summarizes activity from the last 30 days. Each card includes a Ver button to open the related module.


Documents collected


This KPI counts the documents that Fina has automatically collected from email. It includes:


  • Invoices
  • Delivery notes
  • Receipts


Important:


  • It does not include documents uploaded manually.
  • It does not include documents sent by WhatsApp.


So if you uploaded documents by hand and this number does not go up, that is normal.


Below the number, you will see the breakdown by document type. If no email is connected yet, Fina will show the message Email not connected yet. If there is a connection but no new documents have come in, you will see No new invoices.


Documents reconciled


This KPI shows the documents that Fina has automatically reconciled.


There is an important nuance here:


  • The large number counts reconciled documents.
  • The lower text shows how many invoices are ready to pay.


In other words: the card is not only talking about invoices, but about the total number of documents reconciled; the lower line helps you identify how many of those reconciliations already leave an invoice ready for the next step.


Issues detected


This KPI summarizes the issues detected by Fina during that period.


Important:


  • The large number adds up open and resolved issues.
  • The lower text tells you how many of them are already resolved.


So if you see a high total, it does not necessarily mean everything is still pending. Part of that total may already be solved.


Bank reconciliations


This KPI shows the bank movements that have already been reconciled with invoices.


Below the number, you will see whether there are reconciliations with discrepancies. If there are no bank reconciliations in that period, Fina will show No bank reconciliations.



3. What the pending tasks mean


The Pending tasks section does not show everything pending in haddock, only the actions where your review can quickly unlock Fina's work.


Emails pending to be sent to a supplier


This counter is not the total number of open issues.


Here Fina only counts the issues where:


  • it has already prepared an email suggestion, and
  • that suggestion is still pending your review or validation.


If you enter from View issues, you will reach the filtered list to review those cases.


Invoices without discrepancies pending reconciliation


This counter also does not represent all pending reconciliations.


Here you only see the invoices that Fina already considers reconcilable without discrepancies, but that are still waiting for acceptance or final reconciliation.


If you enter from View reconciliations, you will reach the list of pending reconciliations to resolve those cases.


When a card shows 0


If there is nothing pending on one of the cards:


  • the icon changes to a green check,
  • the action button disappears,
  • and that means you do not need to do anything there.



4. How to read recent activity


The Recent activity section is Fina's operational history. It is grouped by day, for example:


  • Today
  • Yesterday
  • a specific date if the activity is older


Here you can see notifications such as:


  • documents collected successfully,
  • rejected documents and their reasons,
  • documents missing to complete a reconciliation,
  • discrepancies detected,
  • completed reconciliations,
  • delivery notes waiting for an invoice,
  • issues that Fina has resolved.


Each card includes context and an action depending on the case. The buttons can be, for example:


  • View details
  • Resolve issue
  • View documents
  • View reasons
  • View issue


Depending on the notification, Fina can take you to the correct module or open additional details so you can review the information.


If you have many notifications, you can load more from this same section.



5. What it means if you do not see activity


If there are still no notifications, you will see a welcome state instead of the history.


That does not always mean there is a problem. Usually it means one of two things:


  • there has not yet been any recent Fina activity, or
  • the initial setup is still incomplete.


If email still needs to be connected or document collection activated, the Work with Fina button will appear to take you to the configuration.



6. How to use this screen day to day


A simple way to read this screen is to follow this order:


  1. Check whether there is a yellow notice at the top.
  2. Review Pending tasks to resolve what can unlock work now.
  3. Use the KPIs to understand the volume of activity over the last 30 days.
  4. Scroll down to Recent activity to see the details and open the exact point that needs review.


If you use the home screen this way, Fina stops being just a summary and becomes your daily monitoring dashboard.
