How to assign pending purchase lines to a product and its format
When haddock detects purchases that are not yet linked to a product, you can review them from Products and decide which Product and which format they belong to.
This process helps keep purchases organized so they are reflected correctly in Inventory and Orders.
Open Assignment of pending purchase lines
- Go to Products.
- If there are purchases pending assignment, you will see the access to Assignment of pending purchase lines.
- Click it to open the review of pending lines.
Review the purchase line
For each line, you will see purchase information such as the detected name, supplier, quantity, unit, or price.
Before assigning it, check that the line belongs to the product you want to create or update in haddock.
If suggestions appear, they can help you move faster:
- If the Product suggestion matches, select it.
- If the Formats suggestion matches, use it.
- If the suggested product or format does not match, choose another one from the list or create the correct one.
Select or create the Product
To link the purchase line to a product:
- Search for and select the corresponding Product.
- If the product does not exist yet, click New product.
- Review the name and basic information before continuing.
Choose or add the format
After selecting the product, indicate the format in which it was purchased.
- Choose one of the existing Formats if it matches the purchase line.
- If there is no suitable format, click Add new format.
- Check that the format represents how you buy that product: box, bottle, unit, kilo, liter, or another format you normally use.
Review Inventory and Orders
Before clicking Assign, review whether the line should be used for Inventory and Orders.
This review is important because the product and its format can later be used to control stock, prepare orders, or check previous purchases.
If the format does not match how you manage the product, choose another format or add a new one before assigning it.
Assign the line
When the Product and format are correct, click Assign.
The line will be linked to that product and format, and it will no longer appear as pending review.
Skip or Discard a line
You can also decide not to assign a line at that moment:
- Skip: leaves the line for later. Use it if you need to check more information before deciding which product or format it belongs to.
- Discard: removes the line from the review. Use it if that purchase should not become a product or you do not want to manage it from Products.
If you are unsure, it is better to Skip and review it later.
