🥷 Step-by-step guide to planning shifts with AI
Step-by-step explanation of how to plan shifts.
- *To create shifts automatically in haddock HR, you first need to complete a series of essential actions. That way, the tool will have all the information it needs to work its magic automatically afterward. *
- Log in to haddock HR (sign in with your username and password)
1. Create availability shifts
It is essential to create availability shifts in haddock HR for each employee.
It is easy. For example, if I am available from 9 to 18 h Monday to Friday, I only need to enter it in "new shift" (see below).

2. Create availability wheels
Availability wheels are another of the basic building blocks so haddock HR can create shifts automatically.
If María is only available Monday to Friday, we will assign the previously created DIS shift to days 1 to 5 (Monday to Friday), so that the weekend is marked as rest. That way, haddock HR will know María's availability.

Difference between availability shifts and availability wheel: The wheel is made up of availability shifts. It generates different shifts to create the perfect availability wheel for your employee.
3. Assign the shift wheel to María
The next step is to assign that availability wheel and shifts to María or the corresponding employee. To do that, in the employee profile we will indicate "María's availability wheel".

To continue with the process, now is the time to check that the wheel is scheduled correctly.
Open the planning you want and click the "plan" button:

4. Create functions
It is time to create the functions we are going to use in automatic planning.
For example, if our business is a hotel, we can add the following functions (which will correspond to work areas): housekeeping, F&B, kitchen, reception, restaurant floor, entertainment....
For example, we will create the function "reception": employees menu, "functions" submenu

- We assign the corresponding function to the employee:

5. Create shifts
We create the work shifts to be scheduled, for example the M1 morning shift:

6. Create operational needs
And then we create the operational needs that will define how many people we need with a given function in each shift.
For example, if we need 3 people at reception in the morning, it would look like this:

- We associate the operational needs with María's group:

And with that, we can now test automatic shift planning by opening the corresponding group:
