Digitally sign a document with Signaturit ✍️
What is Signaturit and why did we integrate it into haddock HR?
Signaturit is a European electronic signature provider that offers secure and traceable signing processes. In haddock HR we integrated it so you can send and receive signed documents with confidence and compliance, without leaving the app. If you want to learn more, visit Signaturit's official website.
Follow these steps to send a document for signature with Signaturit and receive it back signed in haddock HR.
What is Signaturit's advanced electronic signature? 🔐
In haddock HR we use Signaturit's advanced electronic signature (Signature) to provide legal certainty and traceability to the signing process.
Guarantees it provides
- Signer identification through verifiable evidence (e.g. verified email and one-time code).
- Document binding and change detection (cryptographic fingerprint and timestamping).
- Exclusive control by the signer over the signing act.
- Evidence log (audit trail) that proves who signed, when, and from which device.
When should you use it? Ideal for client/supplier agreements, HR contracts and addenda, consents, and internal approvals where you need recordkeeping and proof.
Prerequisites 📄
- The file must be a PDF (required). If you have another format, convert it to PDF before starting the signature process.
- Signaturit sends a secure link by email to each signer; they must identify themselves and sign from their own device.
- Make sure you have permission to view and manage documents.
1) Upload the document
- Go to Documents (left menu).
- Upload the PDF to the folder you prefer (by dragging it or with Upload).
- Alternative: you can also upload it from the employee profile -> Documents tab.

2) Start the signature with Signaturit
- In the document row, click the three-dot menu (⋯) on the right.
- Select Sign with Signaturit.

3) Select the signers 👥
- If you start from Documents, your own user is proposed by default (the current session user).
- If you start from an employee profile (and you are an administrator), your own user and the employee's user appear by default.
- You can add more signers: enter the full name and email correctly.
- Additional option: check Delete original file when completed if you want only the signed version to remain in the folder once it has been signed.

4) Send and complete the signature 📬
- Click Send to start the process.
- Each signer will receive a Signaturit email with the link to sign.
- In Signaturit, each person must draw their signature (a valid scribble) and follow the steps until it is completed.
5) Receive the signed document ✅
- Once all parties have signed, the PDF returns automatically to haddock HR in the same folder.
- If you activated the delete original option, the system will keep only the signed document.
