Compensate overtime with vacation days πŸ•’βž‘οΈπŸŒ΄

This article explains the usual process in haddock HR for compensating extra hours worked by adding vacation days through a manual transaction.



Prerequisites βœ…


  • Permission to access Rules β†’ Transactions and create/edit transactions.
  • The Vacation to enjoy account defined in your environment.



1) Go to Rules β†’ Transactions βš™οΈ


  1. In the left menu, go to Rules.
  2. Open Transactions. You will see the history of movements: vacations, worked hours, contract hours, etc.



2) Create a manual transaction βž•


  1. Click the + button in the top right corner.
  2. In Employee, search for and select the person you want to compensate.
  3. For multiple employees, use the Add button and repeat the selection.



3) Fill in the transaction fields ✍️


  • Account: choose Vacation to enjoy (the Account drop-down).
  • Available from date: indicate from when those vacation days can be taken (for example, August 1).
  • Value: enter the vacation days to add (for example, 2). You can also use fractions if your policy allows it (for example, 0.5).
  • Notes: add some context (for example, β€œVacation compensation for overtime from the first half of the year”).




4) Save and apply the compensation πŸ’Ύ


  • Click Save. The transaction is recorded and the Vacation to enjoy balance is updated immediately.
  • If you selected multiple employees, one transaction per employee is applied.



5) Edit or delete the transaction βœοΈπŸ—‘οΈ


  • From Rules β†’ Transactions, locate the movement you created and use the Edit or Delete options if you need to make changes.



Tips and best practices πŸ’‘


  • Track the reason in Notes (for example, a reference to a timesheet or a specific period).
  • Units must match: if you compensate in days, use day values; if your company compensates in hours, adjust the equivalent and the corresponding account.
  • Future dates: if the compensation applies from a specific date, make sure to set it in β€œDate”.
  • Quick check: after saving, check the employee's vacation balance to confirm the increase.

Done! The employee now has those extra days available to request holidays in the indicated period.
