๐Ÿšจ How to activate time entry alerts in haddock HR

haddock HR lets you set up automatic alerts that help you monitor schedule compliance, planning changes, and absence management. These alerts are linked to contracts and let you respond to any issue quickly and transparently.

โš™๏ธ How are alerts activated?

โžค Step by step:

  1. Go to the main menu and open โ€œRulesโ€.
  2. Access the โ€œContractsโ€ section.
  3. Open the contract where you want to configure alerts.
  4. Go to the โ€œAlertsโ€ tab.
  5. Activate the alerts you need and save the changes.

๐Ÿ”” All alerts apply only to employees assigned to that contract.

๐Ÿ“ฉ Automatic communication alerts

These alerts are used to keep supervisors and employees informed about relevant actions:

  1. Daily summary of missed time entries

  • Daily email with time entries that have not been recorded in the last 10 days.
  1. Absence request

  • Automatic email to the supervisor when someone requests an absence.
  1. Absence outcome

  • Email to the employee when their absence is approved or denied.
  1. Group change

  • Email to the employee when they are assigned to a new group.
  1. Shift change

  • Email to the employee when a shift in their schedule is modified.
  1. Clock-in reminder

  • Automatic reminder at the start of the shift if the person has not clocked in yet.

โฑ Time entry alerts for schedule compliance

In the same โ€œAlertsโ€ tab within the contract, you will find a specific section to activate alerts related to time entry behavior. These alerts let you automatically detect deviations from the planned schedule.

โžค Available alert types:

  • Clock-in before the scheduled time
  • Clock-in after the scheduled time
  • Clock-out before the scheduled time
  • Clock-out after the scheduled time
  • Day without a recorded time entry

๐Ÿ“ฅ These alerts can be configured with tolerance margins so they can be adapted to flexible or strict time control policies.

๐Ÿ”Ž Where are these alerts shown?

The incidents detected by these alerts are automatically recorded in the โ€œTime entry reviewโ€ section of the main menu. There you can:

  • View all generated alerts.
  • Filter by alert type, employee, or period.
  • Correct time entries if needed or justify the situation.

โœ… This panel is the key tool for daily monitoring and schedule compliance auditing.

๐Ÿ“ Recommendations

  • Activate only the alerts that are useful for your operation. Too many can create unnecessary noise.
  • Customize tolerance margins if your team works with some flexibility.
  • Review the Time entry review section weekly to detect recurring incidents.
