How to manage a leave of absence or suspension without pay

When an employee takes a leave of absence, is suspended without pay, or has another long-term absence during which they should not accrue vacation, we recommend temporarily ending their contract in haddock HR.


End the current contract


  1. Go to the Employees menu.
  2. Select the relevant employee.
  3. Open the Contracts tab.
  4. Find the active contract.
  5. Change its end date to the last day on which the contract is active before the leave or suspension begins.



Create the new contract for the employee's return


If you already know the return date, you can configure it now.


  1. On the Contracts tab, click the + button.
  2. Select the appropriate contract.


  • If the contract does not exist yet, you can create it first under Settings > Contracts.
  1. Set the employee's return date as the start date.
  2. Save the changes.


What effect does this configuration have?


By temporarily ending the contract:


  • The employee will not have an active contract during the leave or suspension period.
  • They will not accrue vacation or other entitlements linked to time worked during that period.
  • On the return date, the new contract will activate automatically and vacation accrual will resume as normal.


This process accurately reflects periods of inactivity and ensures that vacation calculations remain correct.
