How an accounting firm can use haddock to speed up administration
📍 Why does haddock make it easier to share data with the accounting firm?
📍 How the accounting firm can use haddock day to day
The accounting firm for a restaurant has the key task of keeping the books, ensuring tax compliance, and managing the legal and administrative obligations of the business.
To perform these functions efficiently, it is essential that the accounting firm has all the necessary documentation, especially supplier invoices. However, getting all these invoices can become a heavy task if you do not have an organized, agile system like haddock.
🧮 Traditional methods for sharing invoices with the accounting firm
Up to now, many restaurant owners use different methods to get invoices to their accounting firm, the most common being:
- Uploading documents to platforms such as Google Drive or Dropbox.
- Sending PDFs by email.
- Sharing an Excel file with a summary of all invoices.
- Handing over physical copies of the documents in person.
- Adding the accounting firm's email in cc when suppliers send invoices directly.
Although these methods can work, at some point in the process you often lose track of which invoices have been sent, which increases the risk that some will not be recorded.
❌ 1 lost invoice = 1 lost tax deduction
One of the consequences of losing invoices is losing the right to the tax deductions associated with that invoice and making mistakes in the tax return.
🔑 haddock: A solution to speed up invoice management
haddock aims to offer restaurant owners a solution that reduces these friction points, making it easier to keep track of invoices and other documents related to restaurant administration. Through the platform, the invited user can have direct access to invoices and manage documents quickly and easily, without relying on reminders or manual searches.
Restaurant owner 🤝 haddock 🤝 accounting firm = Smooth day-to-day management
haddock's goal is not only to help the restaurant owner, but also the accounting firm, ensuring they can continue their daily operations as smoothly and quickly as possible.
📄 How the accounting firm can use haddock day to day
So the accounting firm can access all restaurant invoices without having to request them constantly, haddock allows the invited user to have personalized access to the restaurant platform. This way, the invited user can access all restaurant invoices as well as exports of summaries and totals for them.
👩🚀 How to give the accounting firm access in haddock
In this case, the restaurant owner is responsible for taking this first step.
Click the Restaurant icon > Add user. Add the email of the user you want to invite and select which role you want to give them, in this case Manager. That way they will have the default access.
An invitation will be sent to their email address so they can access haddock. Once the invited user has completed all the required information, they will have access to haddock and can download all the invoices or summaries they need.
📄 How to filter documents in haddock
Document filtering: Once inside the platform, the accounting firm can filter invoices by dates, document type, or suppliers. In addition, haddock allows you to identify which documents have already been exported previously (either by yourself or by other people in the organization), which helps avoid duplicates and ensures no important invoice slips through.
To access the document filter, just go to the Documents screen and click Filter. There you will find a More filters section, where you can see the different document filtering options by export.
📄 How to export invoices in haddock
One-click export: After filtering the documents you need, you can quickly export all invoices in the format you prefer, whether as PDF or in a format compatible with the accounting firm's accounting systems.
📚 Step-by-step guide to export documents.
You will be able to export a document summary where, thanks to the Summaries and Totals export, you will get an Excel file with all the detailed invoice information as well as a breakdown of VAT, which can be very helpful for the accounting firm.
With these steps, haddock makes the relationship between restaurant owners and accountants much easier, removing the common barriers in document management and helping everyone involved focus on what really matters: the restaurant's success.
